Efficient and fair pitching: a guide for organisers

Are you planning to organise an event, but don’t know where to start? Are you wondering whether it is best to work with one agency or to invite several agencies to pitch?

Whatever you decide, be sure to take into account the guidelines of the ACC (General Association of Communication and Event Agencies). This is the Belgian professional association that promotes quality, transparency and professionalism within the communications and events sector. They developed a clear checklist to organise pitches properly and ensure they run smoothly.

Some basic rules:

  1. Limit the number of agencies
    The more agencies you invite, the more work you impose on yourself and the participants. Therefore, consciously choose a limited number of parties that truly align with your project and your values. This increases the likelihood of quality and focus.

  2. Provide a clear briefing
    A pitch stands or falls on the basis of a well-prepared briefing. The more information you share about your objectives, target audience, timing and budget, the better agencies can assess whether and how they can help you. A clear briefing can prevent misunderstandings and ensure creative and feasible proposals.

  3. Respect realistic timing
    A strong pitch takes time. Ensure that the participating agencies are given sufficient time to familiarise themselves with the project and develop a well-considered proposal. Deadlines that are too short often lead to half-finished ideas or frustration.

  4. Provide a transparent evaluation
    A pitch is not a black box. Make it clear in advance how and by whom the proposals will be assessed. Afterwards, provide constructive feedback to the participants. This way, you not only get more out of the pitch itself, but you also build respect among the agencies.
